Welcome to the West Tilbury Village Hall’s Privacy Policy.

 

We respect your privacy and are committed to protecting your personal data.   This policy will explain what data we collect about you, how we look after that data, how long we will retain this information and your privacy rights.

 

Who are we?

 

The West Tilbury Village Hall,  Rectory Road, West Tilbury, Essex, RM18 8UD is the data controller. The data controller decides how your personal data is processed and for what purposes.

 

What information do we collect?

 

When you contact us with an enquiry or to make a booking we will obtain from you:-

 

Your name, address, contact telephone number, email (if applicable), the details of the event you wish to hold at the hall and the date and timings of the booking.  

 

We will also keep a record of the hire fee payable and the details of each payment you make including confirmation of any security deposit.

 

We will also retain a copy of the Conditions of Hire booking form signed by you.

 

We do not knowingly collect personal data relating to children.

   

How do we use this information?

 

We use this information so that we can contact you to provide an answer in response to your query,  reserve the hall for your planned event, confirm and calculate  how much you owe to hire the venue and in relation to the booking generally should we need to.  

 

The above information will not be used for marketing purposes. 

 

Do we share your information?

 

We may share your personal information with:-

 

Members of the Village Hall committee for the purposes of managing your booking/assisting with your enquiry.

 

Third parties as required by law or for the purposes of crime (including fraud), to prevent or investigate breaches of/to enforce our Conditions of Hire, to respond to or investigate security vulnerabilities, or to respond to emergencies and to protect the rights of third parties (e.g. insurers etc).

 

How do we store your information?

 

We will only store information that is specifically required to process your booking/enquiry.

 

We will take all reasonable steps to ensure that your data is treated securely and in agreement with this Privacy Policy.

 

The data that is provided to us will be stored securely off-site by an elected member of the  Village Hall Committee.

 

The transmission of information via the internet is not completely secure and therefore we cannot guarantee the security of data sent to us electronically, i.e. by messenger or email etc.  The transmission of such data is entirely at your own risk.

 

How does this  website work?

 

This website does not support user comments and therefore no personal details are retained.

 

No cookies are set for website users, and if any are implemented they will only be used for tracking usage of the website and no personal information will be used.

 

Any links within this website to other websites are not covered by this privacy policy.

 

How long do we keep your personal data for?

 

We will retain your information in case of any problems arising before, during or immediately after your event, so that we can return any monies owed to you and to keep a record of money in/out for our own accounting purposes.

 

We will usually retain your contact details indefinitely.  This is so that if you decide you would like to book the hall again, the booking process will be quicker and easier for you. 

 

You may however, at the time of booking, ask us to delete  your contact details after the event.   We will endeavour to carry out your removal request promptly and once we no longer require the information in order to contact you in relation to your event and/or for the purpose of processing any payments.

 

Can I see the information you are holding about me?

 

Yes.  You have the right to know what information we hold about you.

 

Should you wish to receive confirmation of the data that we hold about you, please contact us as per the instructions within the following paragraph.
